Available for events in North Florida and South Georgia. Contact us to confirm date availability and custom options. This rental is designed for on-site setup and installation by W Event Details - delivery/installation/retrieval fee is not included in listed price.

HOW TO BOOK A RENTAL

We would be honored to be part of your upcoming event. We’ve included the prices of our rentals on our site so that you can make informed decisions. Please note that delivery and setup fees are not included but will be quoted as soon as we get a bit more information about your event.

When you’re ready for us to put an invoice together with your rental choices, or if you have questions about our rentals please email rentals@weventdetails.com or click the "contact us" button above. We’ll set up a time for a call to discuss any questions you may have and create an itemized invoice together. Don’t worry if you’re not settled on design choices like color, wording, and font styles - after your deposit is paid we’ll mock up a few options and work together to find your style.

We’ll send the invoice and service agreement to you via email. A non-refundable 25% deposit is required to secure your booking. We will not reserve your rental items nor begin mocking up your designs until the deposit is paid in full and the service agreement is signed. Please review the agreement thoroughly and let us know if you have any questions or concerns.

Here’s a quick breakdown of your payment schedule and milestone dates:

  • 25% Deposit Due at Booking
  • 45 days prior - Finalize Design Elements & Remaining Balance Due
  • 2 weeks prior - Finalize Details (guest list, number of tables, etc.)
Rental Terms

SERVICES AND DELIVERABLES

W Event Details agrees to provide custom-designed event rental items (“Items”). Services include delivery, setup, installation, and retrieval of the Items at the event venue specified by the Client.

PAYMENT TERMS

• A non-refundable deposit of 25% of the total quoted amount is due at the time of booking.

• Full payment is required forty-five (45) days prior to the event date.

• Items added after the initial contract is signed must be paid for in full at the time of the update.

REFUND AND CANCELLATION POLICY

• All payments are non-refundable, regardless of event cancellation, postponement, or Client- requested changes.

• The Client acknowledges the custom nature of the rentals and agrees that no refunds will be issued under any circumstances.

DELIVERY, SETUP, AND RETRIEVAL

• W Event Details will deliver, set up, install, and retrieve the Items at the agreed venue on the event date and time, as stated in the quote.

• The Client must ensure timely and adequate access to the venue for both delivery and pickup, including required permissions or access codes.

WEATHER CONTINGENCIES

• W Event Details reserves the right to withhold installation of certain Items if weather conditions, including wind or rain, may result in damage to the Items or pose safety risks. • In such cases, W Event Details may install the Items in a covered or alternative location, at its discretion and in coordination with the Client.

VENUE GUIDELINES AND LIMITATIONS

• W Event Details shall not be held responsible for limitations or restrictions imposed by venue staff or ceremony officials.

• The Client must communicate all relevant venue rules and requirements at least two (2) weeks prior to the event.

DESIGN, PROOFS, AND FINAL APPROVAL

• Digital proofs will be provided for all custom items and must be approved by the Client before production begins.

• No changes to the overall design or aesthetic may be made within forty-five (45) days of the event date.

• If applicable, the final guest count and list of names must be submitted no later than two (2) weeks before the event.

OWNERSHIP, DAMAGE, AND LOSS

• All Items remain the exclusive property of W Event Details unless stated otherwise.

• The Client agrees to return all Items in good condition. Damage, loss, or theft of any Item will incur a $500 fee per item, which will be invoiced or charged to the Client.
